Registration and Security

To ensure the preservation of the Archives holdings for future generations, some security procedures are necessary.

 

Registration: Upon arrival at the Public Archives and Records Office, all visitors must register at the reference desk by completing a registration form and furnishing some form of identification such as a driver’s licence, institutional photo ID, government issued address bearing identification or other acceptable means of identification. The researcher will then be issued a research pass.

On the initial and all subsequent visits, researchers must sign the daily register which includes a column for recording a research pass number. Researchers may be required to show their pass.

 

Food and drink: To protect archival materials and maintain a mold-free environment, no food or drink is allowed in the Archives.

 

Access to materials: Most of the Archives' holdings are kept in environmentally-controlled storage areas which are closed to public access. Researchers wishing to consult the holdings must do so in the reading room. Archives’ materials are not available for loan.

 

Handling of materials: Researchers are required to handle documents with care, not to use them as supports, touch them with sharp objects, and not to rearrange them. The use of ink, ball-point or felt-tip pens is prohibited. Cotton gloves will be supplied for the handling of fragile original materials, e.g. photographs and maps.

 

Electronic equipment: Computers are permitted in the archives. However, the use of cell phones, cameras and scanners is prohibited.
